Most privacy policies seem written to make people stop reading. This one is written for the people who actually use SOAPS Zone. It explains what information may be collected when you read, comment, join a forum, contact us, subscribe, or contribute material—and what choices you have.

A practical note: SOAPS Zone is still developing. As features and service providers change, this policy will be updated. We will not quietly turn it into permission for a completely different use of your information.

1. What we may collect

The information we receive depends on how you use the site. You can read much of SOAPS Zone without creating an account or telling us who you are.

Information you choose to give us

• Your name, display name, email address, username, and account details when you register or subscribe.
• Comments, forum posts, messages, story tips, documents, photographs, videos, and other material you submit.
• Information you include when contacting communitycare@soapszone.ca, privacy@soapszone.ca, or another SOAPS Zone address.
• Your communication preferences, such as whether you want newsletters or alerts.
• Any information you voluntarily provide during an interview, survey, contest, contributor arrangement, or request for help.

Information collected automatically

• Basic technical details such as your IP address, browser type, device type, operating system, approximate region, referring page, and the pages you visit.
• Security and activity logs used to detect spam, fraud, account abuse, technical problems, and attempts to disrupt the site.
• Cookies or similar technologies used to keep you signed in, remember preferences, measure site use, and make features work.

We do not want more information than we need. We will avoid collecting sensitive personal information unless there is a clear reason and you knowingly provide it.

2. Why we use information

• To operate the website, comments, forums, accounts, newsletters, and community features.
• To publish material you submit for publication, with the credit or anonymity arrangements agreed with you.
• To respond to questions, concerns, complaints, corrections, and requests for help.
• To moderate discussions and protect people from harassment, impersonation, spam, fraud, and other misuse.
• To understand which articles and resources are useful and improve the site.
• To maintain security, troubleshoot problems, enforce our Community Guidelines, and comply with legal obligations.
• To send updates or promotional messages only where we have a lawful basis to do so, and to honour unsubscribe requests.

We will not take information collected for one reasonable purpose and quietly repurpose it for something unrelated.

3. Comments, forums, and public participation

Anything you post publicly may be read, copied, quoted, indexed by search engines, or shared by other people. Please do not post private information—yours or someone else’s—that you would not want publicly available.

A display name does not always make someone anonymous. The details in a post, photograph, screenshot, or story can sometimes identify a person even when their name is removed.

We may remove, restrict, preserve, or review content when needed for moderation, safety, legal compliance, or the integrity of a discussion. A concern sent to communitycare@soapszone.ca will be handled as privately as reasonably possible, but we may need to share limited details with the people required to investigate or respond.

4. Story tips, sources, and confidential material

Journalism sometimes requires extra care. If you send us a sensitive tip, do not assume an ordinary web form, direct message, or email is perfectly confidential. Tell us at the beginning if confidentiality is important so that we can discuss an appropriate way to communicate.

We will follow any confidentiality or attribution arrangement we explicitly agree to. We will not promise anonymity casually, and we will explain the limits of any promise before relying on sensitive information.

5. Cookies, analytics, and embedded content

Cookies are small files that help websites remember things. Some are necessary for sign-in, security, and basic features. Others may help us understand site traffic or remember preferences.

Articles may include embedded videos, social-media posts, maps, forms, or other material supplied by companies such as YouTube, Facebook, Instagram, TikTok, Reddit, or similar services. When you load or interact with an embed, that company may collect information under its own privacy policy. SOAPS Zone does not control those outside services.

Where practical, we will use privacy-respecting settings and avoid unnecessary tracking. You can usually block or delete cookies through your browser, although some site features may stop working properly.

6. Advertising and affiliate links

SOAPS Zone may eventually use advertising, sponsorships, or affiliate links to support the site. If that happens, sponsored and affiliate material will be identified, and this policy will be updated to explain any related data practices.

We will not sell a list of community members, commenters, sources, or subscribers to advertisers. Advertisers will not be given private access to your messages or account information simply because they advertise with us.

7. Who may receive information

We do not sell personal information. We may share limited information with:

• Trusted service providers that host the site, deliver email, filter spam, provide analytics, store backups, or support site security.
• People working with SOAPS Zone who need the information to perform an editorial, technical, administrative, or moderation task.
• Authorities, courts, or other parties when disclosure is legally required or reasonably necessary to protect rights, safety, security, or the integrity of the service.
• A successor organization if SOAPS Zone is reorganized, transferred, or sold, subject to appropriate privacy protections and notice where required.

Service providers may process information outside Canada. When information crosses borders, it may be subject to the laws and lawful access rules of the country where it is processed.

8. Email and newsletters

You will be able to unsubscribe from newsletters and promotional emails using the link in the message or by contacting us. We may still send essential messages about your account, security, moderation, or a request you made.

We will follow applicable Canadian anti-spam requirements when sending commercial electronic messages, including identification and unsubscribe requirements.

9. How long we keep information

We keep personal information only as long as reasonably needed for the purpose for which it was collected, for security and record-keeping, or to meet legal and journalistic obligations.

Different information has different lifespans. For example, a deleted account may disappear from public view while limited backups, moderation records, consent records, published journalism, or legal records remain for a reasonable period. Published articles and their supporting records may be retained as part of the historical and journalistic record.

10. Security—and honesty about its limits

We use reasonable administrative, technical, and organizational safeguards appropriate to the information we hold. These may include access controls, updates, backups, spam protection, and limiting access to people who need it.

No website, email system, or storage service can honestly promise perfect security. If we learn of a privacy breach, we will investigate, contain it, keep required records, and notify affected people and regulators when the law requires it.

11. Your choices and rights

You may ask us to:

• Explain what personal information we hold about you and how we use it.
• Give you access to personal information you are entitled to receive.
• Correct information that is inaccurate or incomplete.
• Withdraw consent for future uses where consent is the basis for processing.
• Close an account or remove information where removal is reasonably possible and not prevented by legal, security, journalistic, or record-keeping needs.
• Stop sending newsletters or promotional messages.

We may need to verify your identity before acting on a privacy request. We will explain if we cannot complete a request in full.

12. Children and young people

SOAPS Zone is intended for a general audience and is not designed to collect personal information from children. Young people should be especially careful not to publish identifying details, private messages, school information, location details, or photographs without understanding the consequences.

If you believe a child has provided personal information inappropriately, contact us so we can review it promptly.

13. Links to other sites

SOAPS Zone links to companies, government resources, social networks, forums, creators, and other websites. Their privacy practices are their responsibility. A link does not mean we control or endorse every practice of the linked site.

14. Changes to this policy

We may update this policy as the site grows, technology changes, or legal requirements develop. The updated date will appear at the top. If a change materially affects how we use information already collected, we will provide clearer notice and seek consent where required.

15. Questions, requests, and concerns

For concerns about mistreatment, harassment, exclusion, or community behaviour, email communitycare@soapszone.ca. Messages to Community Care are intended to alert us promptly.

We would rather receive a sincere question than leave you wondering what happened to your information. Please tell us when something is unclear or does not feel right.

About this policy

This policy is intended to be a clear public explanation of SOAPS Zone practices, not a substitute for legal advice. It is informed by Canadian privacy principles, including meaningful consent, limiting collection and use, safeguards, openness, access, and accountability, as well as Canada’s anti-spam requirements.
